The existing Microsoft 365 environment suffered from inconsistent mailbox configurations, fragmented file‐sharing (OneDrive vs. network drives), and rising licensing costs. Users experienced delays when accessing shared documents and frequent version‐control issues.

Implementation: Led a phased migration plan—first auditing user accounts and mailbox sizes, then provisioning equivalent Google Workspace accounts for all 200 users. Verified domains and MX records, set up Drive → Drive migration tools for emails, calendars, and OneDrive files into Google Drive, and configured security policies (2FA, SSO via Odoo IAM). Conducted pilot batches of 20 users to validate data integrity and train early adopters on Gmail, Calendar, and Drive. Rolled out the final migration over two weekends to ensure zero downtime. Provided hands-on training sessions and created “Quick Start” guides to familiarize teams with Google Meet, Chat, and collaborative Drive folders.

Results: Achieved a seamless cut-over with 100% mailbox accuracy and no user-reported data loss. Reduced monthly licensing spend by 25%, eliminated separate file-server maintenance, and improved cross-department collaboration—teams now co-edit documents in real time and leverage Google Workspace’s security and sharing controls for consistent access.
